AI Visibility Suite Privacy Policy

The AI Visibility Suite is a marketing application operated by EagleWorks AI ("we," "our," or "us"). It can send review request emails from your own Gmail mailbox on your behalf. This policy describes how we handle Google user data in that feature.

The permission we request

We request one Google permission and nothing else:

https://www.googleapis.com/auth/gmail.send

This permission allows the application to send email as you. It does not allow reading, searching, downloading, modifying, or deleting anything in your mailbox. We request no read access of any kind.

How we use it

We use this permission only to send review request emails that you have set up, to recipients you have provided. Each message is sent through your own Gmail account so it arrives from your address rather than ours. Sending is initiated by you. The application does not send mail you have not configured and approved.

What we store

Three things from the Google connection, and nothing else:

  1. An encrypted OAuth refresh token, so the application can send on your behalf without asking you to sign in each time. It is encrypted at rest.
  2. The email address of the mailbox you connected.
  3. The date and time you connected.

We also maintain operator controls that are part of the application rather than data taken from Google: an on and off switch for sending, and a suppression list of addresses that must never be contacted.

What we do not store

We do not store the subject or body of messages sent through your mailbox. We do not store recipient lists from sends. We do not store Gmail message IDs, thread IDs, or any other Gmail identifiers. We do not store anything from your inbox. Sent messages remain in your own Gmail Sent folder and we do not keep a copy.

What we never do

We do not read your email. We do not access your contacts, drafts, labels, or attachments. We do not use Google user data to develop, improve, or train generalized machine learning or artificial intelligence models. We do not sell Google user data, and we do not transfer it to third parties except as required by law.

How we protect it

OAuth refresh tokens are encrypted at rest. Access is limited to personnel who need it to operate and support the application. Data is transmitted over encrypted connections.

Revoking access

You can revoke access at any time at https://myaccount.google.com/permissions by removing the AI Visibility Suite. You can also disconnect from inside the application. Once revoked, the application can no longer send from your mailbox and we delete the stored token.

Data retention and deletion

We retain the stored token and connected address for as long as your account is active and the Gmail connection remains in place. When you disconnect, revoke access, or close your account, we delete the token and connected address. You can also request deletion at any time by contacting us.

Limited Use

EagleWorks AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Changes to this policy

If we change how the application handles Google user data, we will update this page and revise the date above.
